What is Email Mailbox Archiving?

Email archiving in Outlook refers to the process of moving older or less frequently accessed emails out of your primary mailbox into a separate storage location (archive), helping you manage mailbox size, improve performance, and meet organizational or personal retention policies. This is a mailbox feature provided by Microsoft Exchange/Office 365 that stores older emails in a separate storage space (visible in Outlook), helping you stay within mailbox quotas while keeping access to older content. Outlook will automatically archive emails that are older than two years old.


How do I locate my Archive Folder?
To navigate to your archive folder, follow the instructions below:

Outlook Web & Outlook Desktop Client (New Client):

  1. Open Outlook Web App or Outlook (New Version)
  2. Locate the Sidebar Menu
    • On the left-hand side, you’ll see your folder list (Inbox, Sent Items, Archive, etc.).
  3. Scroll Down to "In-Place Archive"
    • If the archive section is collapsed, click the arrow next to it to expand it and reveal folders like:
      • Archive
      • Deleted Items
      • Inbox
      • ETC.Uploaded Image (Thumbnail)
